Rose Behavioral Health Policies and FAQs

Due to the administrative challenges insurance can pose, Rose Behavioral Health does not accept payment through insurance. This allows us to provide treatment that caters to your individual needs rather than tailoring treatment to accommodate an insurance plan. It also allows for more transparency in our billing practices so that you aren’t surprised by any costs associated with your care. Our intake appointments are 1 hour and we charge $250.00. Our follow up appointments are 30 minutes and we charge $150.00. We offer sliding scale to those patients who can provide us with last years tax return. If cost is prohibiting you from receiving care, let us know, so we can explore all options. HSA cards welcome.

Rose Behavioral Health has firm policies concerning the prescription of any controlled substance. Prior to prescribing such a medication, we will carefully consider your symptoms, diagnoses, and any potential contraindications. This means that we may not prescribe a medication — including controlled substances — just because your prior provider did. Clients should also be aware that we must limit the number of refills on all medication, and medication that is lost or stolen cannot be replaced.

The number of approved refills will typically be determined during your appointment. Generally, the longer you have been on a medication, the more refills you may be approved to receive. If you are trying a new medication, for example, it’s likely that your prescription will not have any refills available. Conversely, if you have been on the same medication for two years, you may be allowed refills to last up to six months. In order to request a refill, you should email your provider’s secure email address with the following information:

• Full name
• Date of birth
• Exact medication name
• Dosage of medication
• Frequency of dosage
• Pharmacy phone number
• Your contact information

Rest assured that any email sent to your provider’s professional ProtonMail email address is secure, encrypted, and HIPAA compliant.

Rose Behavioral Health is a group of mental health professionals who collectively form an independent practice. Although we may take steps to facilitate continuity of care from another provider, we are not associated with nor are we responsible for any other provider’s actions.

Rose Behavioral Health is dedicated to treating all clients with respect and empathy. All information that is shared with our team of providers is completely confidential. The only exception is any instance where a disclosure is subject to HIPAA regulations or Tennessee law. Confidentiality may also be waived if a client may be a risk to themselves or others, if there is reason to suspect abuse or neglect, or if the information is part of a legal case. Calls & text messaging are not completely secure or confidential. For those who choose to communicate with us via phone and text message, you must be aware that all messages and calls may be retained in the logs of your and our phone service providers. While it is unlikely that someone will be looking at these logs, they are, in theory, available to be read by the system administrator(s) of the phone service provider. Emails and text messages we receive from clients and former clients along with any responses that are related to treatment and diagnosis may be printed and kept in respective treatment records. If you have specific concerns about privacy, please discuss them with your provider.

We use several tools to offer simple, secure, and efficient communication options to all of our clients. Communication is HIPAA compliant, as we use the doxy.me platform — which utilizes AES 256-bit standard encryption — to provide secure telehealth appointments with our providers. We may also use TherapyPortal, which uses end-to-end encryption. For email, we use the Proton Mail platform, which utilizes end-to-end and zero-access encryption.

Rose Behavioral Health does not have the ability to field mental health emergency calls. If you are experiencing a crisis, you may do any of the following:

• Call the National Suicide Prevention Lifeline at (800) 273-8255
• Call the Tennessee Crisis Hotline at (855) 274-7471
• Text the Crisis Text Line by texting HOME to 741741
• Chat with the National Suicide Prevention Lifeline’s Lifeline Chat online
• Seek treatment at your local Psychiatric Hospital or Emergency Room facility by showing up
• Reach out to a loved one who you trust

It’s important to seek immediate help if you feel you may be a danger to yourself or others.

Prior to your first appointment, you’ll need to complete our intake paperwork online. You should also come equipped with a list of your current medications as well as any previous medications that may be relevant to your session. If you have recent lab work that is relevant to your medication, you should have this readily available, too.

The answer to this question varies by client. If you are in the process of trying to find the right medication, you will likely need to follow up more frequently than a person who has been on the same medication for a prolonged period. If you have a prescription for a controlled substance, though, you will need to have a follow-up appointment every one to three months.

Yes! Rose Behavioral Health is pleased to offer virtual telehealth appointments via the doxy.me and Therapy Portal platforms, both of which are fully encrypted and HIPAA compliant. In order to ensure your own privacy, it’s best to schedule an appointment for a time when you can access a quiet and private area. Our ability to offer telehealth also means that we can serve clients outside of Nashville.

Being in therapy is not a prerequisite to receiving treatment from a Rose Behavioral Health provider. In many cases, though, we may recommend that you seek out a therapist in conjunction with the treatment we provide. We can provide references and resources to help you get started.

Although we do not work directly with insurers, you may seek reimbursement from your insurance company by submitting an invoice AKA a “superbill” from Rose Behavioral Health. You will need to check with your insurance company to see whether they offer partial or full coverage for out-of-network providers. Reimbursement rates will be dependent on your specific insurance plan and whether or not you have met your deductible.

Each provider at Rose Behavioral Health has their own availability, so you should check to see who has the soonest available appointment. How quickly you can be seen varies, but in many cases, you may be able to get an appointment the same week. If you need to schedule an appointment on the same day, please email us and/or call us with your request and reasoning, and we can let you know if we will be able to accommodate you.
